Admin/Project Coordinator

Hanbury is looking for a talented Project Coordinator for our Baltimore Maryland office. We need a dedicated, organizationally-minded individual to complement our operations and project teams. This position is responsible for general day-to-day administrative duties as well as organizing and coordinating the development of construction documents. It is for someone with a strong desire to advance their skills and knowledge while working collaboratively with a group of highly creative, intelligent, and passionate people. The position requires the ability to manage time effectively as well as prioritize tasks to meet deadlines, the successful candidate should be able to demonstrate that they can work well with a team while multi-tasking and making informed decisions independently. We work with multiple established platforms but are flexible enough to embrace the unique skills you bring to the job. The ideal person has a well-developed understanding of the AE/C industry and can manage construction documents.   • 60% of the role: be the right hand to the firm-wide project team
    • Learning project manager expectations throughout each phase of the project.

    • Keeping us organized and maintaining a professional presence by: 
      • Maintaining conference room calendars and coordinating interoffice meetings.
      • Managing all incoming and outgoing mail and package deliveries.
      • Tracking and managing office, kitchen and restroom supply inventory.
      • Greet, receive, announce and seat all visitors and guests.
    • Setting up new hires for success: preparing workstations, acclimating them to firm and providing onboarding assistance.
    • Anticipating administrative support needs and providing stellar support.
    • Other related tasks that need to be done!

Construction Administrator

Hanbury is seeking an experienced Construction Administrator to join our team in Baltimore, MD, or alternatively, a full-time representative in Princeton, NJ who would affiliate with our Baltimore, MD office during and post-completion of the project. A recognized leader in construction administration who provides technical leadership and acts as an advisor on large-scale projects. Possesses strong communication skills, a sense of urgency and responsiveness, a flexible attitude, the ability to solve problems creatively, and the ability to foster and manage effective client relationships. Responsible for high-impact decisions in application of codes and building systems and takes personal responsibility to ensure the responsiveness of architects and engineers throughout the construction of projects. 


  • Manages and leads team through Construction Phase Activities for a large-scale project, including jobsite meetings, correspondence, submittals, and payment application reviews.
  • Works closely and diligently with Owner, Architect/Engineer Team, and Contractor representatives to achieve project goals/requirements, and employs standard protocol for communication with and between team members to include the Owner, Architect/Engineer team and Contractor representatives.
  • Proactively applies knowledge of codes, university standards and all types of building systems (architectural, civil, structural, etc.) to projects.
  • Utilizes Building Information Modeling (BIM) to understand potential problems/solutions and proactively coordinates responses with Architect/Engineering Team
  • Reviews and manages Requests for Information (RFI) and submittals and maintains current documents using Hanbury’s construction document management software Autodesk Construction Cloud and Newforma and other owner platforms.
  • Proactively communicates with design team to gain understanding of design intent and responds with clarity (always on-time) based upon confirmed direction from design team.
  • Monitors owner and/or contractor directed changes for compliance with our basic services agreement.
  • Checks submittals (i.e., shop drawings and product data) to determine conformance with project contract documents, design intent, best practices, and quality expectations.
  • Performs site visits 3 days/week, observations and inspections and prepares field reports. Additional on-site presence may be required at times.
  • Evaluates cost-related aspects of the project and administers change orders, proposed changes, construction change directives, substitutions, time delays and payment applications in accordance with contract and project requirements.
  • Builds consensus among team members and achieve project goals by facilitating communication between Owner, Architect, Contractor, and Consultants and by maintaining current knowledge of the Owner-Architect Agreement, Owner-Contractor Agreement, Architect-Consultant Agreement and any additional services agreements.
  • Leads and collaborates in team meetings to discuss project issues, technical issues, and coordination with other disciplines.
  • Responsible for preparing and/or reviewing meeting minutes and appropriate documents for consultant coordination meetings.
  • Manages conflict effectively and encourages a healthy team environment.
  • Fosters and maintains a collaborative professional working relationship with the owner, contractor, project team and consultants.



  • Accredited professional degree in Architecture, Architectural Engineering, Engineering, Construction Science, or related field preferred
  • Architectural Registration preferred.
  • Typically, 15+ years of experience
  • Sustainable design accreditation preferred; knowledge of sustainable design registration requirements required.
  • Proficiency with architectural software such as Revit, AutoCAD, Newforma, 3D modeling software and PDF-editing software preferred.
  • Proficiency in MS Office Suite preferred.
  • Strong knowledge of sustainability, building systems, and integrated design guidelines
  • Strong knowledge of the Owner-Architect Agreement, Owner-Contractor Agreement and Architect-Consultant Agreements
  • Advanced knowledge of architectural building systems, accessibility guidelines and QA/QC process
  • Advanced knowledge of building codes and ability to research and apply/incorporate into technical documents.
  • Experience with managing and performing duties in a fast-paced environment.
  • Strong organizational skills and the ability to work on multiple tasks at the same time.
  • Ability to communicate in a clear, concise, and professional manner both orally and in writing.

  • Assist in the designing, planning and administration of the construction of buildings and other projects for clients
  • Assist in the preparation at various stages designs, drawings and other documents utilizing computer assisted design software and equipment illustrating the scale and relationship of the project components. Consider environmentally responsible design alternatives, material choices, building orientation, alternative systems and equipment together with program and aesthetics in developing a design that is consistent with the client’s program, schedule and budget

  • Assist during the bidding and procurement phase of the project to include the development and preparation of bidding and procurement documents, consideration of requests for substitutions, preparation and distribution of addenda, and preparing a summary report of the results for presentation to the client
  • Assist during the Construction Phase Services. Visit the site at intervals appropriate to the stage of construction, assist in keeping the client reasonably informed about the progress and quality of the work completed and prepares reports. Interprets matters concerning performance and provides additional information to the contractor regarding the construction documents when requested. Assist in reviews of submittals and certifications of amounts due the contractor for work completed. Assist in inspections to determine dates of Substantial and Final completion of the project
  • Collaborate with the design team to achieve quality level on our projects expected by the firm which includes adherence to the HOLISTIC DESIGN PROCESS of Envision, Discover, Iterate, Act
